1. Scope and roles
Digital Dignified Solutions (“DDS”), Mengo, Kampala, Uganda, operates Clubhouse. Contact us at admin@digitaldignifiedsolutions.com. This notice applies to Clubhouse’s marketing site, accounts, club workspaces, hosted club sites, ticketing, memberships, accreditation and gate tools.
DDS is a data controller where we decide why data is used, for example account security, platform billing, support, fraud prevention and service improvement. A Club is normally the controller of supporter, player, staff, applicant, content and transaction data it enters or collects for its own purposes, while DDS processes that data for the Club. Contact the relevant Club first about Club-controlled data.
2. Data we collect
- Account data: name, email, phone, avatar, authentication identifiers and account status.
- Club and staff data: organisation details, roles, permissions, invitations, work activity and audit records.
- Supporter and transaction data: buyer or member details, order items, amount, currency, payment status and provider references. Payment-card details are handled by the payment provider, not stored by Clubhouse.
- Shop data: buying from a Club’s shop does not need an account. When you check out we collect your name, email address, phone number and delivery address; the items ordered, the amount paid and the delivery fee the Club agrees with you; whether you chose to receive the Club’s news and offers; and the order’s payment and delivery status. The Club may add private notes about you or your orders, and we keep a copy of the emails sent to you about them.
- Accreditation data: contact details, media house, work type, press-card details, photograph, equipment, requested zones, decision and check-in status.
- Sporting and content data: player, official, squad, fixture, article, photograph and other material a Club supplies. Some of this may be made public by the Club.
- Technical data: IP address where available, device/browser information, timestamps, authentication events, security logs, cookies and similar essential storage.
- Communications: support requests, notices and email/SMS/WhatsApp delivery status.
3. Why we use data
We use data to provide and secure accounts; operate workspaces and public sites; process orders, memberships and subscriptions; issue and validate tickets and passes; manage accreditation; send service notices; provide support; prevent fraud and duplicate entry; maintain audit and financial records; enforce agreements; comply with law; and understand and improve service reliability.
For shop orders we use these details to take payment, reserve stock, arrange delivery, send your receipt and order updates, and let the Club contact you about your order.
Depending on the context, processing is based on performing a contract, taking requested pre-contract steps, consent, compliance with law, or legitimate interests such as securing the platform and preventing fraud. Where a Club controls the purpose, that Club determines and must communicate the applicable lawful basis.
4. Sharing
We share data only as needed with the relevant Club and its authorised staff; vendors that provide hosting, authentication, storage, email, messaging, domains, analytics where enabled, customer support and payment processing; professional advisers and auditors; authorities where lawfully required; and a successor in a genuine business transaction. Vendors must be bound by appropriate confidentiality and data-protection duties.
Shop payments are made through our payment provider, which passes the Club’s share of the sale to the Club’s own payout account. The Club can see the contact and delivery details you give at checkout so that it can fulfil your order and contact you about it. Clubhouse does not receive your card or mobile-money credentials.
Ticket and accreditation QR codes use opaque identifiers, but scanning them still accesses protected records. Do not publish or share a code unnecessarily.
5. International processing
Some technology providers may process or store data outside Uganda. DDS and participating Clubs must use lawful transfer safeguards and ensure protection that is adequate under applicable Ugandan data-protection law, or obtain valid consent where required. Contact us for current processing-location information.
6. Retention
We retain data only as long as reasonably needed for the purposes above, an active account or Club relationship, security, disputes, backups and legal, tax or accounting duties. Working copies are deleted or anonymised after the applicable period; encrypted backups may persist until their normal rotation. Clubs set appropriate retention for content and records they control. Shop orders and the related customer records are kept for as long as the Club reasonably needs them for fulfilment, returns, tax and accounting, subject to deletion requests the law allows. We will publish a more detailed retention schedule before full commercial launch.
7. Security
We use access controls, tenant separation, row-level database policies, encrypted network transport, restricted service credentials, audit logging and provider security controls. No service can guarantee absolute security. Report a suspected incident promptly to admin@digitaldignifiedsolutions.com.
8. Your rights
Subject to applicable law, you may ask to access, correct, update, delete or restrict personal data; object to certain processing; withdraw consent without affecting earlier lawful processing; receive information about recipients and safeguards; and complain to the relevant Club, DDS or Uganda’s Personal Data Protection Office. We may verify identity and retain data where law or a valid overriding reason requires it.
9. Children
Clubhouse accounts and contracts are intended for adults. Clubs must obtain appropriate parent or guardian consent and apply heightened safeguards before entering or publishing a child’s personal data. Do not upload a child’s sensitive, contact, contract or identification data unless strictly necessary and lawfully authorised.
10. Cookies and communications
Clubhouse uses cookies or local storage that are necessary for sign-in, security, tenant selection, checkout continuity and user preferences. We will request consent before enabling non-essential advertising or analytics cookies where consent is required. Service messages are not marketing. The shop’s checkout box for news and offers is optional and unticked; if you tick it the Club may send you news and offers, and you can stop them at any time by replying to any email from the Club or asking the Club to remove you. Emails about your own order, such as your receipt, delivery updates and follow-up about that order, are service messages. Marketing messages will provide a practical opt-out, and opting out does not stop necessary account, payment, security or event messages.
11. Changes and contact
We may update this notice as the service or law changes. Material changes will be communicated and, where required, presented for fresh acknowledgement. Privacy questions and rights requests may be sent to admin@digitaldignifiedsolutions.com. Please identify the relevant Club if your request concerns a Club’s records.
